The name of the register is the Kahjo.eu Customer Register.<\/p>

3. Purpose of Processing Personal Data<\/h4>

Personal data is processed for purposes related to managing, administering, and developing customer relationships, providing and delivering services, developing services, and invoicing. Personal data is also processed for purposes necessary to investigate possible complaints and other claims.<\/p>

In addition, personal data is processed for customer communications, such as providing information and news, as well as for marketing purposes. This includes processing personal data for direct marketing and electronic direct marketing.<\/p>

Customers have the right to object to direct marketing addressed to them.<\/p>

The data controller processes personal data itself and may also use subcontractors that process personal data on behalf of and for the account of the data controller.<\/p>

4. Legal Bases for Processing<\/h4>

The legal bases for processing personal data under the EU General Data Protection Regulation (hereinafter also referred to as the \u201cGDPR\u201d) are:<\/p>

  1. the data subject has given consent to the processing of their personal data for one or more specific purposes (Article 6(1)(a) GDPR);<\/li>
  2. processing is necessary for the performance of a contract to which the data subject is a party or in order to take steps at the request of the data subject prior to entering into a contract (Article 6(1)(b) GDPR);<\/li>
  3. processing is necessary for the purposes of the legitimate interests pursued by the data controller or a third party (Article 6(1)(f) GDPR).<\/li><\/ol>

    The legitimate interest of the data controller referred to above is based on a relevant and appropriate relationship between the data subject and the data controller resulting from the data subject being a customer of the data controller, where the processing takes place for purposes that the data subject could reasonably have expected at the time their personal data was collected and in connection with the relevant relationship.<\/p>

    5. Data Content of the Register (Categories of Personal Data Processed)<\/h4>

    As a general rule, the register contains the following personal data concerning registered individuals:<\/p>

    1. basic personal and contact information: first name, last name, address, telephone number, and email address;<\/li>
    2. information relating to the individual's company or other organization, as well as the individual's position or job title within that company or organization;<\/li>
    3. the individual's direct marketing consents and objections.<\/li><\/ol>

      6. Regular Sources of Data<\/h4>

      Personal data is collected directly from the data subject.<\/p>

      Within the limits of applicable legislation, personal data may also be collected and updated from publicly available sources related to the customer relationship between the data controller and the data subject and which enable the data controller to fulfil its obligations relating to the maintenance of customer relationships.<\/p>

      7. Retention Period of Personal Data<\/h4>

      Data collected in the register is retained only for as long as and to the extent necessary in relation to the original or compatible purposes for which the personal data was collected.<\/p>

      The need to retain personal data is assessed every five years. In any case, data concerning a data subject will be removed from the register after the customer relationship between the data subject and the data controller has ended and all obligations and measures related to the customer relationship have been completed. For example, accounting records are retained for five years after the end of the financial year.<\/p>

      The data controller regularly assesses the necessity of retaining data in accordance with its internal policies. In addition, the data controller takes all reasonable measures to ensure that personal data that is inaccurate, incorrect, or outdated in relation to the purposes of processing is deleted or corrected without undue delay.<\/p>

      8. Recipients of Personal Data (Categories of Recipients) and Regular Disclosures<\/h4>

      Personal data is not disclosed to external parties.<\/p>

      9. Transfer of Data Outside the EU or EEA<\/h4>

      Personal data contained in the register is not transferred outside the European Union or European Economic Area.<\/p>

      10. Principles of Data Protection<\/h4>

      Materials containing personal data are stored in locked premises accessible only to designated persons who are authorized to access the information due to their duties.<\/p>

      The database containing personal data is stored on a server located in locked premises accessible only to designated persons authorized to access it due to their duties. The server is protected by appropriate firewalls and other technical security measures.<\/p>

      Access to databases and systems is only possible using individually assigned usernames and passwords. The data controller has restricted access rights and authorizations to information systems and other storage platforms so that personal data can only be viewed and processed by persons for whom such access is necessary for lawful processing. In addition, access and usage events relating to databases and systems are recorded in the logs of the data controller's IT systems.<\/p>

      The data controller's employees and other persons involved in processing personal data are bound by confidentiality obligations and are required to keep confidential any information obtained in connection with the processing of personal data.<\/p>

      11. Rights of the Data Subject<\/h4>

      Under the EU General Data Protection Regulation, the data subject has the following rights:<\/p>

      1. Right of access: The right to obtain confirmation from the data controller as to whether or not personal data concerning the data subject is being processed and, where such personal data is being processed, the right to access the personal data and the following information: (i) the purposes of processing; (ii) the categories of personal data concerned; (iii) the recipients or categories of recipients to whom the personal data has been or will be disclosed; (iv) where possible, the envisaged period for which the personal data will be stored or, if this is not possible, the criteria used to determine that period; (v) the right to request rectification or erasure of personal data or restriction of processing, or to object to such processing; (vi) the right to lodge a complaint with a supervisory authority; and (vii) where personal data is not collected from the data subject, any available information as to its source (Article 15 GDPR). The basic information described above in points (i)\u2013(vii) is provided to the data subject in this Privacy Policy.<\/li>
      2. Right to withdraw consent: The right to withdraw consent at any time without affecting the lawfulness of processing based on consent before its withdrawal (Article 7 GDPR).<\/li>
      3. Right to rectification: The right to require the data controller to correct inaccurate or incorrect personal data concerning the data subject without undue delay and the right to have incomplete personal data completed, including by providing a supplementary statement, taking into account the purposes for which the data was processed (Article 16 GDPR).<\/li>
      4. Right to erasure: The right to have the data controller erase personal data concerning the data subject without undue delay, provided that: (i) the personal data is no longer necessary in relation to the purposes for which it was collected or otherwise processed; (ii) the data subject withdraws the consent on which the processing is based and there is no other legal ground for the processing; (iii) the data subject objects to the processing on grounds relating to their particular situation and there are no overriding legitimate grounds for the processing, or the data subject objects to processing for direct marketing purposes; (iv) the personal data has been unlawfully processed; or (v) the personal data must be erased in order to comply with a legal obligation under EU or national law applicable to the data controller (Article 17 GDPR).<\/li>
      5. Right to restriction of processing: The right to require the data controller to restrict processing where: (i) the accuracy of the personal data is contested by the data subject, for a period enabling the data controller to verify its accuracy; (ii) the processing is unlawful and the data subject opposes the erasure of the personal data and requests the restriction of its use instead; (iii) the data controller no longer needs the personal data for the purposes of processing, but the data subject requires it for the establishment, exercise, or defence of legal claims; or (iv) the data subject has objected to processing on grounds relating to their particular situation, pending verification of whether the legitimate grounds of the data controller override those of the data subject (Article 18 GDPR).<\/li>
      6. Right to data portability: The right to receive personal data concerning the data subject that they have provided to the data controller in a structured, commonly used, and machine-readable format and the right to transmit that data to another data controller without hindrance from the data controller to which the personal data was provided, where the processing is based on consent as defined in the GDPR and is carried out by automated means (Article 20 GDPR).<\/li>
      7. Right to lodge a complaint: The right to lodge a complaint with a supervisory authority if the data subject considers that the processing of personal data concerning them infringes the EU General Data Protection Regulation (Article 77 GDPR).<\/li><\/ol>

        Requests concerning the exercise of the data subject's rights should be addressed to the data controller using the contact details provided in Section 1.<\/p>
